1. Introduction & Scope
This Privacy Policy explains how KNOWLEDGESET LTD (“KnowledgeSet”, “we”, “us”, “our”) collects, uses, and protects personal data when you use our website and educational platform (the “Service”).
KnowledgeSet is a company registered in the United Kingdom, and this policy is intended to meet our obligations under applicable UK data protection laws, including the UK GDPR and the Data Protection Act 2018. While the Service may be accessed by users outside the UK (for example, international students studying UK curricula), our operations and this policy are governed primarily by UK law.
The Service is designed for students aged 6 to 18 and for their parents or guardians. Accounts may be created either by a parent/guardian on behalf of a student or directly by a student. Where a student is under 13, a parent or legal guardian must provide consent for the creation and use of the account and for the processing of the student’s personal data in accordance with this policy. We do not currently operate a formal age-verification or parental consent workflow, and we assume parental oversight for younger users.
If you have any questions about this Privacy Policy or how we handle personal data, you can contact us at support@knowledgeset.co.uk.
2. Information We Collect
We collect information to operate the Service, provide access to the correct learning content, and support learning progress and platform reliability. The types of information we collect include:
2.1 Account & Profile Information
When you create and use an account, we collect account and profile information, such as:
- Email address
- Name (student and/or parent/guardian)
- Login credentials (passwords are handled securely via our authentication provider and are not stored in plain text)
- User-selected learning preferences and account configuration (for example, subjects studied, exam board, and educational level), which help us show the right content within the platform
2.2 Learning & Usage Data
When students use the Service, we collect learning and usage data, such as:
- Questions attempted and answers submitted
- Scores/marks and progress indicators
- Session history
- Activity metrics, such as time spent studying, study sessions, and engagement with learning content
- Learning analytics generated from performance, such as indicators of concept mastery or areas to revisit (based on question performance and how frequently topics are practised)
- Goal and habit features, such as user-set study goals (e.g. “3 hours today”) and activity streaks shown on the dashboard
2.3 Communications
We collect information related to communications we send through the Service, including:
- Emails (for support, onboarding, important service messages, and feature or product updates)
- In-app notifications (including learning-related notifications, such as reminders when a concept mastery indicator falls below a threshold)
2.4 Payment Information
If you purchase a subscription, we collect payment and billing information such as:
- Subscription status (active/inactive)
- Billing history (such as invoices, payment status, and plan information)
Payment details (such as card numbers) are processed securely by a third-party payment processor and are not stored on our servers.
2.5 Technical Data (Cookies, Analytics, and Logs)
We also collect technical data to keep the platform secure and functioning properly, including:
- Basic usage analytics (for example, page views and interactions), used to understand platform usage and improve performance
- Cookies and similar technologies that are strictly necessary for authentication and session management (so users do not need to sign in repeatedly)
- Server logs and related technical logs (such as error logs and security logs) used for reliability, abuse prevention, and protecting the Service
3. How We Use Information
We use the information we collect to operate the Service, support learning progress, and keep the platform secure and reliable. In particular, we use personal data for the following purposes:
- To provide and operate the Service: to create and manage accounts, authenticate users, and provide access to the website and platform features.
- To deliver the right learning experience: to show content that matches a user’s selected learning preferences (such as subject, exam board, and educational level) and to ensure the correct materials are available to them.
- To track learning progress and performance: to record attempts, scores, progress, and session history, and to generate educational insights (such as concept mastery indicators) based on learning activity and performance.
- To support goals and reflection: to provide dashboard features such as time-spent analytics, study goals, and streaks, so users can reflect on their study habits and progress over time.
- To communicate with users: to send emails and in-app notifications that relate to the operation of the platform and learning experience (for example, support messages, important service notices, feature updates, and learning-related notifications such as when a concept mastery indicator falls below a threshold).
- To process subscriptions and billing: to manage subscription access, confirm payment status, and keep billing records.
- To maintain security, prevent misuse, and troubleshoot issues: to protect the Service, investigate errors, prevent abuse, and maintain reliability using technical logs and related security measures.
- To improve the Service: to understand how the platform is used (via basic usage analytics) and to improve performance, usability, and educational outcomes.
We do not sell personal data, display advertising to children, or use personal information for third-party marketing purposes. We do not engage in behavioural profiling beyond what is necessary to support learning progress and provide educational insights within the platform.
4. What We Do Not Do With Your Data
We are committed to using personal data only to operate and improve the KnowledgeSet learning platform in a way that supports students and parents.
In particular:
- We do not sell personal data.
- We do not display advertising to children.
- We do not use personal data for third-party marketing purposes.
- We do not engage in behavioural profiling beyond what is necessary to provide learning progress tracking and educational insights within the Service.
5. Children’s Data & Parental Responsibility
KnowledgeSet is designed for use by students aged 6 to 18 and their parents or guardians. Accounts may be created either by a parent/guardian on behalf of a student or directly by a student.
Where a student is under the age of 13, a parent or legal guardian must provide consent for the creation and use of the account and for the processing of the student’s personal data in accordance with this Privacy Policy. By creating an account for a child, or by allowing a child to use the Service, the parent or guardian confirms that they consent to this processing and accept responsibility for the child’s use of the platform.
We do not currently operate a formal age-verification or parental identity verification process. For younger users, we therefore assume parental oversight and encourage parents/guardians to supervise a child’s use of the Service where appropriate.
6. Third-Party Service Providers
We use trusted third-party service providers to operate and deliver the Service. These providers support core functions such as hosting and infrastructure, authentication and data storage, payment processing, and content/video delivery.
Where these providers process personal data on our behalf, they do so as data processors under our instructions and only for the purposes of providing their services to us (for example, operating the platform, processing payments, or delivering content). We require appropriate contractual protections and safeguards with such providers to help protect personal data.
Depending on the provider and how the Service is delivered, personal data may be processed or accessed in locations outside the United Kingdom or the European Economic Area. Where this occurs, we rely on appropriate safeguards and measures required under applicable data protection laws to protect personal data.
Details of our current data processors can be made available on request.
7. Data Retention
We retain personal data for as long as an account remains active, or as otherwise necessary to provide the Service.
If an account becomes inactive, we may retain associated account and learning data so that the user can return to the platform without losing their progress, unless a deletion request is made. Users can delete their account within the Service or request deletion by contacting us at support@knowledgeset.co.uk.
In some cases, we may retain limited information where required or appropriate for legal, accounting, security, or fraud-prevention purposes (for example, maintaining billing records or protecting the Service).
8. Your Rights & Choices
You have certain rights in relation to your personal data under applicable data protection laws (including the UK GDPR). These rights may include the right to:
- Access your personal data and request a copy of the information we hold about you
- Correct inaccurate or incomplete personal data
- Delete your account and request deletion of personal data (subject to limited exceptions, such as where retention is required for legal, accounting, or security purposes)
- Object to or restrict certain processing in some circumstances
- Withdraw consent where we rely on consent for a specific processing activity (where applicable)
Managing your information
You can update certain account and profile information directly within the Service. You can also delete your account within the Service.
Making a request
To exercise your rights or ask questions about how we handle personal data, please contact us at support@knowledgeset.co.uk. For security, we may need to verify your identity before responding to certain requests.
9. Future Features & Service Development
As KnowledgeSet develops, we may introduce additional features and services. For example, we may use learning and performance data (such as question attempts, scores, and progress) to personalise educational content and generate practice questions tailored to a user’s learning needs. These processes are based on learning activity and do not rely on unnecessary personal identifying information.
In the future, we may also offer features that allow parents/guardians and/or educational institutions (such as schools) to view student learning progress and analytics, where appropriate permissions and consents have been provided. We may also use aggregated or anonymised information to understand platform usage and improve educational outcomes. Aggregated or anonymised information does not identify individual users.
10. Contact Details & Policy Updates
If you have any questions about this Privacy Policy or how we handle personal data, or if you wish to exercise your rights, you can contact us at support@knowledgeset.co.uk.
We may update this Privacy Policy from time to time to reflect changes to the Service, legal requirements, or how we handle personal data. Where appropriate, we will post the updated version on our website and may also notify users through the Service or by email if changes are material.
